Before You Start — Colour Coding Key
Every cell in this spreadsheet follows a consistent colour system. Learn it once and you'll never be confused about what to do.
| Colour | Meaning |
|---|---|
| 🔵 Blue text | Input cell — this is where you type. No other cells need editing. |
| ⚫ Black text | Formula — calculated automatically. Do not overwrite. |
| 🟢 Green | Healthy / Pass / Profit / Safe — you're in good shape. |
| 🔴 Red | Warning / Fail / Loss / Over-concentrated — action needed. |
| 🟡 Yellow | Caution / Watch / Borderline — keep an eye on it. |
| 🟣 Purple rows | Alternating row highlight — no special meaning, just readability. |
The Five Rules — Know These Cold
Every formula in this spreadsheet enforces one of these five rules. Understanding them makes the tool make sense.
✌️ The 2x Rule
Your Target PSA 10 value must be more than 2× your total cost-in (raw card + grading fee). If the math doesn't work, don't grade it. The Grading ROI Analyst tab enforces this automatically.
⚠️ The 9 Penalty
A PSA 9 is not a consolation prize — it's often a losing ticket. Your PSA 9 value must still cover your full cost-in or you lose money. The "9 Penalty" column on the Grading ROI Analyst tab flags this automatically.
📊 The 20/30/50/60 Rule
No single card > 20% of portfolio. No single player > 30%. No single sport > 50%. No single era > 60%. The Risk Dashboard monitors all four automatically.
💸 The eBay Fee Rule
Standard eBay fee is 13.25% of sale price. Always deduct this before counting profit. The Self-Sustaining tab does this automatically — your Net Profit column is already fee-adjusted.
⏱️ The 75-Day Rule
If a card sits in your inventory for more than 75 days, re-price it or liquidate. Dead capital kills momentum. The Empire Builder tab turns velocity red at 75 days and yellow at 50 as an early warning.
Tab-by-Tab Guide
📊 Master Data
This tab is a read-only reference. It shows PSA population data, gem rates, and current market values for 8 key benchmark cards. Use it to calibrate your intuition about what makes a card worth grading.
What to do:
- Nothing on first use — the data is pre-loaded from current PSA population reports.
- Update monthly — gem rates and target values shift as more cards get graded. Check PSA's population report and revise the numbers in column D (Gem Rate) and column E (Target PSA 10 $).
💡 Pro Tip
The Gem Rate column is the most important number on this tab. A card with a 0.008% gem rate (Mantle 1964) is a fundamentally different investment than one with a 64% gem rate (Wembanyama 2023). Low gem rate = high scarcity premium.
💰 Self-Sustaining Collector
This is your flip journal. Every buy and sell goes here. The sheet auto-calculates your net profit after eBay fees and allocates a portion to your Personal Collection (PC) fund.
What to enter (blue cells only):
- Date — when you acquired the card
- Description — card name, year, brand, grade
- All-In Cost ($) — everything you paid: card price, shipping, fees
- Sale Price ($) — your actual eBay (or other platform) selling price
- PC Fund % — what % of your profit to set aside for your personal collection. Default is 50%.
What calculates automatically:
- Net Profit ($) — Sale Price minus All-In Cost minus 13.25% eBay fee
- PC Fund $ — your profit multiplied by your PC Fund %
- Status — shows 🔵 Listed while Sale Price is blank, then ✅ Sold once filled
💡 Pro Tip
Leave the Sale Price blank until the card actually sells. The Status column will show 🔵 Listed automatically, and your summary KPIs will only count completed sales.
🔬 Grading ROI Analyst
Run every card through the 2x Rule before you send it to PSA. This tab tells you whether a card is worth grading, and flags the hidden risk of receiving a PSA 9 instead of a 10.
What to enter (blue cells only):
- Card Description — name, year, set
- Raw Cost ($) — what you paid for the ungraded card
- Grading Fee ($) — current PSA tier fee — check psacard.com for current pricing
- Target PSA 10 ($) — current market value of a PSA 10 — check eBay sold listings
- PSA 9 Value ($) — current market value of a PSA 9 — check eBay sold listings
What calculates automatically:
- Break-Even ($) — Raw Cost + Grading Fee — your minimum to recover costs
- 2x Rule — ✅ PASS if Target PSA 10 > 2× Break-Even, ❌ FAIL if not
- 9 Penalty — ⚠️ LOSS RISK if PSA 9 value is below your Break-Even
- ROI if PSA 10 — percentage return if you hit a 10
- Net $ if PSA 10 — actual dollar profit after eBay fees if you hit a 10
⚠️ Important
A ❌ FAIL on the 2x Rule is a hard stop. Do not grade that card — you are paying PSA to gamble with your money. A ⚠️ LOSS RISK on the 9 Penalty means even a decent grade could lose you money. Both flags should override your gut feeling.
🏛️ Empire Builder
A full dealer-grade inventory management system. Every card gets a SKU, a velocity timer, and a margin calculation. Built for collectors running 20+ cards in inventory at a time.
What to enter (blue cells only):
- Custom SKU — your reference code, format: CMV-001, CMV-002, etc.
- Player / Year / Brand — full card description
- Sourcing Channel — where you bought it: eBay, LCS, COMC, show, etc.
- Date Purchased — enter as MM/DD/YY — the velocity timer starts from this date
- Platform ID — your listing ID on eBay, WhatNot, etc. for easy lookup
- Status — type
ActiveorSold - List Price ($) — your asking price
- Cost ($) — your all-in purchase cost
What calculates automatically:
- Velocity (Days) — days since purchase — turns yellow at 50, red at 75
- Gross Margin ($) — List Price minus Cost
- Margin % — Gross Margin as a percentage of List Price — green if above 30%
💡 Pro Tip
Use the SKU system religiously. When you're managing 50+ cards, being able to search CMV-043 and instantly locate a card in your storage is worth more than any margin formula. Front-load the SKU on your storage boxes and shipping labels.
🧭 Risk Dashboard
Your portfolio health monitor. Update the five blue input cells and the dashboard tells you instantly whether your collection is dangerously over-concentrated in any one card, player, sport, or era.
What to enter (blue cells — Portfolio Inputs section):
- Total Portfolio Value ($) — add up the current market value of every card you own
- Most Valuable Single Card ($) — the current market value of your single most expensive card
- Most-Held Player — Total Value ($) — add up all cards of your most-concentrated player
- Largest Sport Category Value ($) — add up all cards in your biggest sport
- Largest Era Category Value ($) — add up all cards in your biggest era: vintage, junk wax, modern, ultra-modern
What the dashboard shows:
- Your % — each category as a percentage of your total portfolio
- Status — ✅ HEALTHY, ⚠️ WATCH, or 🚩 OVER-CONCENTRATED with colour coding
- Recommendation — plain-English explanation of the risk and what to do about it
💡 Pro Tip
Update this dashboard at the start of every month. Most collectors only discover they're over-concentrated after a bad grade or market dip has already hit. Five minutes of honest data entry here is your insurance policy.
📈 Charts
Two auto-updating charts that visualise your key data at a glance. No input needed — they pull directly from Master Data and the Risk Dashboard.
- Chart 1: Gem Rate by Card — shows how rare a PSA 10 is for each benchmark card. The Wembanyama bar dwarfs everything else — a reminder that ultra-modern is a fundamentally different product.
- Chart 2: Portfolio Concentration vs. Safe Limits — plots your actual concentration percentages against the 20/30/50/60 thresholds. Any bar exceeding the grey limit bar needs attention.
💡 Pro Tip
If you add new benchmark cards to Master Data, extend the chart data range manually (right-click the chart > Select Data) to include the new rows.
🎯 Prospector Scorecard
A structured scoring system for evaluating rookie cards before you buy. Score each prospect across six categories. The sheet calculates a total out of 100 and issues a verdict automatically.
Scoring categories and maximums:
| Category | Max | How to Score |
|---|---|---|
| Age at Debut | 20 | 20 = age 18–19 | 15 = 20–21 | 10 = 22–23 | 5 = 24+ |
| Draft Pedigree | 20 | 20 = Top-5 pick | 15 = Top-10 | 10 = Top-30 | 5 = other |
| Charisma / Swagger | 15 | 15 = elite marketability | 10 = strong | 5 = average | 0 = unknown |
| Winning Pedigree | 15 | 15 = champion/titles | 10 = deep playoff runs | 5 = winning team |
| Statistical Upside | 20 | 20 = generational ceiling | 15 = star | 10 = starter | 5 = fringe |
| Card Scarcity | 10 | 10 = short print / low pop | 5 = moderate | 0 = flooded |
Verdict thresholds:
- 🔥 STRONG BUY (80–100) — elite prospect, buy now
- ✅ BUY (65–79) — solid upside, worth the position
- 👀 WATCHLIST (50–64) — monitor — wait for a dip or more data
- ❌ PASS (below 50) — risk outweighs reward at current prices
⚠️ Validation Note
Score cells turn red if you enter a number above the maximum for that category, and yellow if you hit the exact maximum. The total will still calculate but a red cell means your score is invalid — re-check the criteria.
Frequently Asked Questions
Can I add more rows?
Yes. All formula columns (Net Profit, Status, Velocity, etc.) are pre-loaded for 200 rows in every tab. Just start typing in the next empty row.
Can I change the eBay fee percentage?
Yes. On the Self-Sustaining tab, the fee is hardcoded as 0.1325 (13.25%) in column F. If you sell on a different platform or have a different fee tier, find-and-replace 0.1325 with your actual rate.
Can I add more benchmark cards to Master Data?
Yes. Add new rows below the existing data in the same format. The Difficulty badge in column F needs to be typed manually (🔴 EXTREME, 🟠 HARD, 🟡 MODERATE, or 🟢 EASY). Extend the Charts tab's data range manually if you want the new cards to appear in Chart 1.
The Prospector Scorecard only goes to 100 — what if a card scores higher?
It cannot. The maximum for each category is capped, and validation turns cells red if you exceed any limit. A score of 94–100 is genuinely rare and represents a generational talent.
What if a card I'm tracking doesn't sell on eBay?
The eBay fee formula is a shortcut — adjust the fee rate in column F of the Self-Sustaining tab to match your actual platform. WhatNot, COMC, and direct sales all have different fee structures.
